Ride It | Registration Withdrawal Policy
Cancellations and refunds are only accepted if the organisers can fill the spot with a team off the waiting list. If a confirmed team entry wishes to cancel their registration for whatever reason before 28 January 2011, a R2500 cancellation fee is charged. After 28 January 2011, a R5000 cancellation fee applies and you will only be refunded after the 2011 race. We recommend riders take out private insurance. To avoid the cancellation penalties, a team should arrange for a new team to take their entry, and only pay the rider change fee (see below). You can advertise for new team riders/partners on our forum. We are not obliged to refund optional extras, and we will only refund them when a team withdraws and we are able to sell the optional extra (e.g. confirmed hotel room) to another team. A 15% cancellation fee is applied to all optional extra refunds.
Rider Changes within a Confirmed Team The riders within a team can be changed after registration. The rider dropping out of the race must do so in their rider zone before the new partner can be invited. The remaining rider must then sign into their rider zone and pay the applicable rider change fee by credit card before inviting their new partner into the race. (EFT payments are not accepted for rider changes.) Before 28 January 2011: R500 per rider 28 January - 25 February: R1 000 per rider 25 February - 11 March: R2 000 per rider Any changes made after 11 march up until 26 March (at race registration in Cape Town will cost R2500 per change. A late team substitution will cost R5000 and can be done at registration. Liability Each participant is responsible for his/her own safety. Organisers, sponsors and event personnel are in no way liable for injury, damage or loss incurred by the participants and/or their equipment. All riders register for the event with the understanding that they are responsible for risks against his/her person and his/her belongings when participating in the race. Riders give up any right to claim from persons, institutions, or companies involved in the event in any way. Notes on fees: - To avoid the withdrawal penalties you can arrange for a rider change (see registration). Refunds will only be approved if a replacement team is sourced, registered and fully paid.
- If you have not selected a partner, or if your partner has not registered by this date you will be liable for this rider change fee.
- These fees are not meant to be punitive, but are charged simply to reduce the number of last minute changes that require a tremendous amount of administrative work during our busiest period.
- You can avoid the surcharge if you pay with a direct bank transfer and email/fax the reference/proof of payment to us.
